We are a U.S.-based Property Management and Vacation Rental company seeking a highly organized, proactive Executive Assistant with strong bookkeeping experience to support property management, finance, and daily operations.
This is a fast paced role for someone who takes initiative, works well under pressure, and can manage administrative, financial, and client facing responsibilities seamlessly. This position can be remote, but the candidate must be very comfortable working with U.S. clients and systems.
The ideal candidate is extremely organized, excellent with calculations and bookkeeping, highly proficient in QuickBooks Online and Excel, and able to juggle multiple priorities at once. Social media experience is a plus.
Key Responsibilities
Provide executive and administrative support including calendar management and scheduling using Microsoft Outlook and Google Workspace
Assist with property management operations including tenant and client communications
Manage bookkeeping functions using QuickBooks Online and QuickBooks Pro including data entry, invoicing, expense tracking, and financial record keeping
Track deadlines, prepare reports, and support project coordination to ensure tasks are completed on time
Manage emails, messages, and phone communications in a professional and timely manner
Prepare correspondence, reports, and documents using Microsoft Office Suite
Manage electronic signatures and documents using DocuSign
Perform clerical and office support duties including data entry, filing, and customer service support
Requirements
Strong experience with QuickBooks Online and bookkeeping
Excellent math and calculation skills
Advanced Excel skills including formulas
Minimum typing speed of 75 WPM
Extremely organized and detail oriented
Able to multitask efficiently in a fast paced environment
Fast learner comfortable using multiple software platforms
Professional, clear speaking voice
Must have an American phone number with unlimited calling to the U.S.
Strong written and spoken English
People oriented and confident speaking with U.S. clients
Able to take initiative and work independently without constant supervision
Experience
Previous experience as an Executive Assistant, Personal Assistant, or Office Manager
Bookkeeping or financial support experience required
Property management experience preferred
Social media experience is a plus
